Wrote only the on-screen steps and missed how the person actually works

Making documents

Situation
Having an AI write a guide for the reception staff who use a booking tool.
What the AI did
It listed only the order of on-screen steps and missed where in a receptionist's day the task happens, and with whom. The steps were correct but hard to use in the real job.
How to ask next time (the operator's example)
"Before the steps, write three lines on when, where, and with whom the person does this task. Then arrange the steps to fit that flow."
One question to ask
When does the person do this task, and with whom?
Check it yourself
Ask one person who does the job to walk you through the last time they did the task, then compare the order they used with the guide's. Rearrange the guide wherever the two differ.
